The four tools

The download library fixes your documents. These cover four jobs a document can't do. A document won't hand the Wi-Fi to a guest standing in your entryway. It won't send you the photo of the stripped bed while that still matters, and it has no idea which kayak is out.

Home Manual

A guest guidebook at a short link, built to be read on a phone in your entryway. It arrives pre-filled with the 11 sections every stay asks about: a welcome note, Wi-Fi, arrival & access, house rules, kitchen & coffee, heating, TV, trash day, local favorites, what to do if something goes wrong, checkout. Every blank stays a highlighted [PLACEHOLDER] until you overwrite it, so you can't miss an unfinished field. Print the QR sign and stand it by the door. The 11 pm "what's the Wi-Fi" message mostly stops.

Turnover Tracker

Airbnb and Vrbo both hand out an iCal link. Paste it once. Every checkout then becomes a scheduled turnover carrying a 29-item checklist: strip beds first, hair check in the bathroom, microwave ceiling, lint trap, thermostat set for arrival. Edit it per property. Your cleaner opens the turnover from a text you send with one tap, with no app and no account to make, then checks items off, uploads photos, and flags damage, low stock or a repair. The day a guest disputes a claim, you export the PDF.

  • Calendar sync from the iCal URL you already have; direct bookings added by hand in ten seconds
  • Same-day turn flagged in red on the schedule, so the tight ones don't surprise anyone

Inventory & Loans

The kayaks, bikes, cribs, space heaters, ski racks and spare linen sets guests borrow, and that quietly walk off. Add what you own, book it out to a guest or a unit for a date range, and mark it back when it returns. Dates get checked against everything else already promised, so the same four kayaks can't go to two families in the same week. Overdue shows up without opening a spreadsheet.

  • Availability worked out per day across the whole range. "Free" means free every day of it, including the ones you didn't look at
  • A booking that would overdraw your stock gets refused before it saves, and it names the item and how many are actually free
  • Delivered and returned tracked separately, so you know what's out versus what's merely promised
  • Overdue items sit at the top: what should have come back and hasn't
  • Retire an item without deleting it, so past loans still read correctly

Book Direct

A booking page for each property at its own address, vrabc.com/book/your-business/your-property/, short enough for a business card and a QR code in the welcome book. Real availability from the same calendar link the Turnover Tracker uses, a quote as the guest picks dates, and a request form. The guest pays on your own payment link. Nothing passes through this site.

  • Nights already booked on Airbnb or Vrbo show as taken, so your own page cannot double-book you
  • A nightly rate, a cleaning fee, a minimum stay, in USD or CAD. The total appears as the guest picks dates
  • Requests land in your dashboard and your email. You confirm or decline, and the page tells guests dates are held once you do
  • Paste a Stripe Payment Link, a Square or PayPal link, or any payment page you already have
  • Unpublish in one click. The link stops working and nothing else changes
How a turnover runs

From a calendar checkout to a PDF you can attach to a claim

STEP 01

Paste the calendar link

Airbnb, Vrbo and most booking software will export a calendar link. The iCal URL usually sits under a "sync" or "export calendar" setting. Paste it once on the property page. Each checkout date becomes a turnover, with the next check-in beside it.

STEP 02

Text your cleaner the link

One tap opens your own Messages app with the link and the date filled in. It comes from your number, so it doesn't get swiped away like an app notification. Your cleaner downloads nothing and sets no password.

STEP 03

They work the checklist

Big tap targets, section by section. Photos of every bed and bathroom upload straight from the camera. Damage, low stock or a repair gets flagged with a note and a photo. You see it on your turnover page.

STEP 04

You keep the record

A PDF per turnover: what was checked and when, what was flagged, the photos with timestamps. That's what you attach to a damage claim or a deposit deduction.

The terms

The four things you don't pay for

No app to install

Your guest opens a link in Safari or Chrome. Your cleaner and your handyman get theirs by text, and open it the same way. The only account on this is yours.

No per-door fees

The going rate in this category is $7 to $20 per property, per month, forever, for software you configure once. Past your first free property this is one flat pass. The second cabin and the two-hundredth cost the same.

No middleman on the money

Nothing here sits between you and your cleaner. Pay them the way you already do, by e-transfer or Venmo or cash. No card fee. Nothing held for a payout window, and no percentage off their invoice.

You own the data

Every manual exports to PDF. Every turnover exports to a timestamped PDF with the photos embedded. If you leave, you leave with all of it. No subscription holds any of it back.

Why flat pricing

A guidebook doesn't cost more to host when you add a second cabin. Neither should the software.

I build the marketing and booking systems for cabin, lakefront and mountain rental operators, so I have watched this category get priced. Nearly every guidebook or cleaning tool on the market charges by the door, by the month, for something you configure once, and the meter usually starts at property number two and never stops. The server doesn't care that you bought a second cabin. So there's no meter here. The first property is free, and past that it's one pass, paid once, covering the second cabin and the five-hundredth alike.

All four tools are free for your first property. The All-Access Pass costs $69 CAD once, with no renewal, and raises each tool to 500 properties. It is the same pass that includes all 26 Pro toolkits in the library. The price is set for the documents. The tools ride along at no extra charge.

Nobody venture-funded this. There's no branded guest app, and nothing here texts your guests on your behalf. No cleaner marketplace either. What's left is the part that gets used: links your guest and your cleaner will actually open, and a PDF that holds up.

Where these stop

If your property management system (PMS) already builds the cleaning task and texts your cleaner, you don't need the Tracker. Keep what works. Guesty and Hostaway are two of the common ones; if you work straight out of the Airbnb and Vrbo apps, you don't have one. If you want a branded guest app with upsells and ID scanning, that's a $120-a-month category and this isn't it.
