A vacation rental tech setup checklist covers five areas: the network, entry and locks, cameras and monitoring, thermostat and utility tracking, and the accounts that tie it together. Get those five right before your first guest checks in. You will spend far less time firefighting later.

The tech setup checklist at a glance

Work through this list in order, since the network has to exist before anything connects to it.

Networking basics

Wifi comes first because every other device on this list depends on it. A camera that cannot reach the internet is a blind camera. A smart lock with a weak connection is a lock that fails to unlock on schedule.

Size the plan for guests and devices at once. Streaming video commonly pulls 5 to 25 Mbps per screen depending on quality, so a plan in the 100 Mbps range covers a full house with room to spare. Write down the network name, the password, and the router's location before you forget which closet it sits in. That sounds obvious until you own three properties and cannot remember which network belongs to which house.

Smart lock and access

A smart lock removes the need to hide a physical key or manage a lockbox. It also lets you set a unique code for each booking. Look for a lock that works over wifi directly, or one that pairs with a bridge device, rather than one that needs a phone nearby to send commands. Wifi capable models commonly sell in the $150 to $300 range.

Battery life matters more than most first time buyers expect. Plan on changing lock batteries a few times a year, and keep spares in the owner closet so a dying lock never waits on a store run. Get in the habit of checking the lock's code log after each stay closes out. A code used outside the booking window is worth a quick look before you assume it was nothing.

Build a code retirement into your turnover routine, so an old guest code never sits active after checkout. Some locks expire codes automatically on a schedule you set. Others need someone to delete the code by hand, and that step is easy to skip when a turnover runs behind.

Cameras and the disclosure rules around them

Exterior cameras earn their place at a rental. A doorbell camera confirms arrivals, and a driveway camera settles questions about extra cars or unexpected visitors. The rules around them are strict, and the platforms publish them plainly.

Airbnb's published policy, updated in 2024, prohibits indoor security cameras entirely, whatever the room and whatever the disclosure. As of this writing, outdoor cameras and doorbell cameras are allowed if they are disclosed in the listing. They stay banned from outdoor areas with a higher expectation of privacy, like an outdoor shower or sauna. Vrbo's rules run along the same lines, requiring disclosure and keeping surveillance out of private spaces. Read the current policy page for each platform you list on before mounting anything.

Disclose every camera and sensor in the listing itself, before a guest books. A disclosed driveway camera reads as normal security. The same camera discovered by a guest after arrival reads as spying, and the platforms side with the guest on that complaint.

Noise and occupancy sensors

A noise sensor tracks decibel levels in a property without recording audio or video. It flags you when a reading crosses a threshold you set. That gives you a way to catch a party building before a neighbor calls to complain. Sensors commonly run $100 to $200 up front, and most tie into a monthly monitoring plan.

Occupancy sensors work off a similar idea, tracking device count or motion patterns to flag a headcount that looks higher than the booking allows. Neither tool tells you exactly what is happening inside. Both only tell you that something crossed a line worth checking.

Place a noise sensor centrally, often near a living room or main gathering space. A sensor tucked in a bedroom may pick up nothing unusual even during a real problem. One sensor per common area beats one sensor for the whole house.

Thermostat and utility monitoring

A smart thermostat lets you set a schedule that saves on heating and cooling between bookings, then returns to a comfortable range before a guest arrives. Models commonly cost $80 to $250. Most also send an alert if the temperature swings outside a range you set, which can catch a failed furnace before pipes freeze.

Utility monitors go a step further, tracking electricity or water use in near real time. A spike outside the normal pattern for an occupied property is worth investigating. So is any use at all during a period the property should sit empty.

Set alert thresholds based on the property's own history rather than a generic number from a manual. A cabin with a well pump uses water differently than a house on municipal service. Your thresholds should reflect that difference.

Accounts and login management

Every device on this list comes with its own account, app, and password, and that list grows fast across a handful of properties. Use a password manager rather than a shared document. A document gets outdated the first time you change one login and forget to update it.

Pick one person as the account owner for each property, even if a cleaner or co host has day to day access. Shared logins invite lockouts, especially when a provider requires a verification code sent to a single phone number.

Decide early who else needs access. A cleaner may need the lock app to let themselves in. A co host may need the thermostat and the noise sensor but not the utility billing account. Finish by writing down every account tied to the property, including the login email, the device serial number, and who set it up. That record earns its keep the day a device fails and you need the warranty information fast. It matters again the day you sell the property and need to hand every login over cleanly.
